My company has a requirement to inform our accounts department when a new asset is added to the Asset Register (under Inventory) which we are just setting up in Samanage. Is there any way of setting up an automated email ?
Unfortunately this is not an build in functionality within Samanage.However, you can use Zapier to create such a functionality.Here are some steps that may help you set this up.
To successfully link your Samanage account to Zapier you need to login to your Zapier account.
Once logged in you can click the “Make a Zap!” button and you will be forwarded to this page.
Here you can search for “Samanage” and select the Samanage Icon.
In this example we will use the Samanage trigger “New Asset”, this will trigger this ‘Zap’ when a new Samanage asset is created. Once you have selected the preferred trigger you can hit Save + Continue.
Click “Connect a New Account” to connect a new Samanage account to Zapier to be used in your zap. This step will ask for your user credentials and your account name.
After this you can test the connectivity and save the changes (note that you need at least 1 asset to make the connectivity test succeed).
In step 2 we are setting up the email action that is taking place.
You can scroll down to the “Built-in-apps” section and select Email.Or use an email app like Gmail.
Here you can select “Send Email” and hit continue.
Click “Connect a New Account” to connect a new Google account to Zapier to be used in your zap. Once done you have the ability to do a quick test.
Hit save and continue.
In the Set up Gmail Email you can set up the To address, subject, message, label, etc. You can use Samanage fields to populate this message. Once you hit continue a preview of the message will be shown and you can create & continue.
You can now hit Finish and name your Zap. Automatically the zap will be turned off and you have to switch it on to make it work in your environment.
Every time a new Asset is created an email will be send out to the recipients with the message created by you.Hope this helped!

* Is Zapier is free to use for Samanage?
* Can we send the mail to external parties also?
* Can we use our own email system such as Office365?

2. You can send emails to every emailadress of your choice.

Thanks for the prompt reply. At the moment, management dont want to integrate another system and follow them. As you see from the community, they are looking solution in build with Samanage. Such as Remote control, Single Sign On, email, etc.. Samanage should really start thinking on integrating all these into your system, instead of we are adding more vendors and system to work with our ticketing tool.
Thanks for the information Ramon that was great. At least I can stop looking in Samanage for the option now. You mentioned using Zapier to send the emails via a trigger, is there an option in Zendesk like this as we are using Zendesk in my company ?
You are welcome.You could use Zendesk as well in Zapier to create a new ticket when an asset is created in Samanage.Or use it the other way around. You can create a free plan Zapier account to experiment with the possibilities.
I am testing Zapier as you suggested and it seems to work well for new 'Other Assets ' so that is helpful. My problem is is that I also have to report new ' Mobile Devices ' and amendments or updates to existing Inventory items in Mobile Devises & Other Assets. In Zapier I only get the choice to pick up New Hardware in Inventory, which I worked out are items under the Computer tab, and New Assets, which as I said is only items under the Other Assets tab. There is no trigger for amendments or updates.
Got any ideas ??
Unfortunately Mobile devices and updates can not be set as triggers in Zapier.
A different solution for this could be to create a script using our open API www.samanage.com/api
