Enhanced User Experience and New Workflow Engine

We are upgrading our workflow engine and enhancing the user experience.  These improvements enable IT teams  to simplify the process of creating and editing service catalog items.  These new capabilities are available via Samanage Labs.

What are the improvements?

  • Conditions Sets enable you to execute a task when a variable is true or false.  Now, these Condition Sets can be applied to all the tasks in a process and defined only once. Previously, conditions only executed when true. This provides users with greater flexibility in defining workflows without the need to repeat the condition throughout the process.
  • Workflows can be terminated at any point with the Stop Process step (formerly abort). In the previous workflow, stop process can only be implemented in an approval step.
  • A group of tasks can be named, making them much easier to identify
  • Colors are used to differentiate actions (e.g. green for true conditions, red for false conditions, orange for concurrent tasks)
  • Vertical lines and indenting can be used to trace logic step-by-step
  • Drag and drop can be used to move individual tasks, conditions, groups and approvals.
  • Folder icons now show grouped tasks. Folders can be collapsed and expanded to show steps.
  • Labels have been added to clearly identify Approval and Condition Set
  • Users can hover over steps and a drop down list of actions will display, this replaces ?Add Task, Add Approval, Add Group, Delete Group, Concurrent? buttons.
How is this beneficial?
The new design and workflow greatly simplifies the process of creating and editing service catalog items. As shown in the screenshot below, flows are much easier to follow. In addition, these changes facilitate editing an existing workflow rather than having to start from scratch. The new workflow engine provides a platform to implement upcoming changes. The platform is much more flexible and will enable Samanage to add future functionality and capabilities with greater speed and efficiency.



How can I enable the new user experience and workflow on my account?
  1. Start by navigating to Samanage labs under Setup/ Samanage Labs.

  2. Scroll down to the first post titled, Help us test drive the new Samanage workflow for Service Catalog.? Click the button Enabled for all users.

  3. From this moment on, any new catalog item created will use the new workflow engine.

  4. Navigate to Service Desk/Service Catalog.

  5. Create a new service item to test out the new user experience and workflow engine.

  6. If at any time you wish to stop testing, disable the workflow engine from the Labs page. From that moment on, new catalog items created will be in the old workflow engine. Any catalog items created using the new workflow and corresponding service request will persist and execute as normal. When editing new workflow based items at this point, they will show an empty process, so we would recommend to delete them if reverting to old workflow.

  7. We recommend creating some test catalog items before using the new workflow engine for production catalog items.
